Legal basis (where applicable)
Where data protection law applies, our lawful bases for processing include your consent (e.g., for newsletters or publishing submitted content), our legitimate interests (running and improving our services and communications), performance of a contract (donation processing), and compliance with legal obligations.
Publication of stories and media
If you submit content (stories, photos, audio or video) to RRSA for publication, we will ask for your permission and explain how and where we intend to use it. You may withdraw permission at any time; we will make reasonable efforts to remove content from our platforms, noting that copies may persist in backups or on external platforms after removal.
Donations & payment processing
Our website includes a donation feature. Payment details (card/account numbers) are collected directly by our third-party payment processor and are not stored on RRSA servers. If you want a version of this policy that names the exact payment provider (e.g., PayPal, Stripe, GiveWP, Flutterwave, etc.), tell us which one you use or allow us to check the site. Donation records (amount, donor name and contact where provided, receipt) are retained for accounting and reporting. (Refugee Storytellers Association)
Cookies, analytics & third-party services
We and our service providers may use cookies and similar technologies to operate the site and analyze usage. We also use third-party services (for hosting, email/newsletters, analytics, and social media embeds). These third parties may collect information about your visit; their practices are governed by their privacy policies.
Sharing & disclosure
We share personal data only as necessary to:
- Service providers who perform functions on our behalf (payment processors, hosting providers, email platforms, analytics vendors).
- Legal or regulatory authorities when required by law.
- Partners, but only with your explicit consent (for example, when we co-publish content).
We require vendors to protect personal data and use it only for permitted purposes.
Data security & retention
We use reasonable administrative and technical measures to protect personal data. However, no system is 100% secure. We retain personal data only as long as necessary for the purposes described (for example: donation records retained for accounting/financial reporting periods; newsletter contacts until unsubscribed). If you want specific retention periods added (e.g., 7 years for financial records), tell us and we’ll include them.
International transfers
Data may be processed or stored outside your country. Where necessary, RRSA will seek to ensure an adequate level of protection consistent with applicable law.
Children’s privacy
Our site is not intended for children under 13 (or a higher local minimum age). We do not knowingly collect personal data from children without parental consent. If you believe a child’s information has been submitted without consent, contact us and we will remove it promptly.

Depending on where you live, you may have rights to access, correct, delete, or restrict processing of your personal data, and to withdraw consent where processing is based on consent. To exercise these rights, contact reliablerefugeestories@gmail.com or the phone number listed above. We will respond in line with applicable law.
